This Privacy Policy describes how Apollo & Ivy Photography, LLC (“Apollo & Ivy,” “we,” “us,” “our”) collects, uses, and shares information when you visit apolloandivy.com, inquire about photography, request freebies, purchase digital templates, book mentoring sessions or audits, join our email list, or otherwise interact with our content, marketing, and services (collectively, the “Services”).

1) Information we collect
Information you provide to us
We collect personal information you choose to provide, including:
- Contact information: name, email address, and phone number (optional if you provide it)
- Inquiry and booking information: session details, preferences, questions, and any information you submit through our forms
- Purchase information: items purchased (freebies and paid digital products), transaction details, billing-related information, and sales tax details where applicable
- Mentoring/audit information: details you provide for 1:1 mentoring and audits (website, CRM, and Google Business Profile information you submit)
- Communications: messages you send us by email or through forms
We do not store your full credit card number. Payments are processed through HoneyBook.
Information collected automatically
When you browse the website, we may automatically collect certain information, including:
- Device and browser data: IP address, device type, browser type, operating system, language preferences
- Usage data: pages viewed, links clicked, time on page, referring/exit pages, and similar activity data
- Approximate location: generally inferred from IP address

3) How we share your information
We do not sell your personal information in the sense of selling a customer list to third parties.
We may share your information with service providers that help us run the business, such as:
- HoneyBook: client inquiries, lead forms, scheduling workflows, contracts/invoices, and payment processing
- ShootProof: photo gallery delivery for photography clients
- Kit (ConvertKit): email marketing, automated nurture sequences, and segmentation based on link clicks and purchases
- Airtable: internal recordkeeping (including receipts/expense tracking and limited internal workflow use)
- Google Analytics 4 (GA4) and Google Tag Manager (GTM): website analytics and measurement
- Microsoft Clarity: behavioral analytics such as heatmaps and session replay
- CookieYes: cookie consent management
We may also disclose your information:
- To comply with law, legal process, or governmental request
- To protect rights, safety, and security; prevent fraud; and enforce our terms and policies

We use cookies and similar technologies (such as pixels and tags) to help the website function, remember preferences, understand how visitors use the site, measure marketing performance, and improve our content and offers.
We use CookieYes to manage cookie consent. Consent experiences may vary by location and applicable law. You can also control cookies through your browser settings, including blocking or deleting cookies. If you disable cookies, parts of the website may not work as intended.
5) Analytics and session replay (GA4, GTM, and Microsoft Clarity)
Google Analytics 4 (GA4) and Google Tag Manager (GTM)
We use GA4 and GTM to understand how visitors use the website and to measure performance of content and marketing. These tools may collect online identifiers and usage data (such as device/browser information, pages visited, and interactions).
We do not intentionally send information like your name, email address, or phone number to GA4. GTM is a tag management tool that can route data to other tools based on configuration; we configure our tags to avoid collecting or sending information like names, email addresses, or phone numbers for analytics purposes.
Microsoft Clarity
We use Microsoft Clarity to better understand how visitors interact with the website. Clarity may collect usage data using cookies and similar technologies and may provide features such as heatmaps and session replay.
Session replay tools can capture interactions such as scrolling, clicks, and page navigation. If you type information into a field on the website, that interaction may be reflected in session replay. We use cookie consent settings (via CookieYes) and reasonable configuration measures to reduce the collection of unnecessary personal information.
If you prefer not to be included, you can manage cookie preferences through the CookieYes banner (where available) and/or your browser cookie settings.
6) Digital products, freebies, and downloads
We offer free downloads (“freebies”) and paid digital products (such as templates). When you request a freebie or purchase a digital product, we may collect and use information such as your name, email address, purchase history, and transaction details to:
- Deliver the download and send confirmations and related administrative messages
- Provide customer support and troubleshoot delivery issues
- Maintain business and tax records (including sales tax collection where applicable)
- Prevent fraud or abuse
We do not require you to create a login/account to access freebies or digital products.
7) Email marketing
If you opt into our email list, we may send newsletters, educational content, and offers. We use Kit to manage email marketing, including automated nurture sequences and segmentation based on link clicks and template purchases.
You can unsubscribe at any time using the link in any email. We may retain limited information (such as your email address) on a suppression list to ensure we respect unsubscribe requests.
8) Phone numbers and SMS reminders
Our inquiry forms may include an optional phone number field. If you provide your phone number and become a client, appointment reminders may be sent via SMS through HoneyBook as part of client scheduling and service delivery. These messages are operational (not marketing blasts).
9) Photography and minors
We photograph children and minors as part of family sessions and childcare/daycare photography.
- For standard photography sessions, the use of images is governed by our client contract and model release.
- For daycare/childcare photography, we do not share photos publicly online unless we receive explicit written consent (for example, via a consent webform).
10) How long we keep your information
We keep personal information only as long as necessary to provide Services, maintain business records, comply with legal obligations, and resolve disputes.
In general, we retain client and transaction records for seven (7) years for tax and accounting purposes (including invoices, payments, and related communications). We may retain certain information longer if required by law or for dispute-resolution and enforcement purposes.
11) How we protect your information
We use reasonable administrative and technical safeguards to protect personal information. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
12) Children’s privacy (website visitors)
This website is intended for adults. We do not knowingly collect personal information from children under 13 through the website.
13) Your privacy rights
Depending on where you live, you may have rights to request access to, correction of, or deletion of your personal information, and to object to or restrict certain processing.

14) U.S. state privacy disclosures (including California)

Some browsers offer a “Do Not Track” setting. Because there is no consistent industry standard for recognizing and implementing DNT signals, we do not currently respond to them.
